Operation of TimeLegal Grace and Rounding feature.
Our scheduler can be used with and without clock on control. If you choose to
use clock on control, Clock on Time Rounding can be set from 0 (no rounding) to
20 minutes. Grace clock on can be set for 0 to 20 minutes also.
In the example below, Rounding and Grace where both set to 10 minutes,
personnel were assigned to shifts created with our Shift Wizard with 8am start
times. All personnel were made aware of the new time tracking system and how it
operated and signed the acknowledgement included with TimeLegal.
1. Jane B arrives for work at 7:52 and clocks in. Time shown on TL is 8am as
Jane arrived within the grace time of 10 minutes. Jane can chat with others have
coffee or attend to other non-work related needs, knowing that at 8am her time
will start. (early arrivals within the grace period are clocked in when shift
starts)
2. Bob C arrives for work at 7am, and clocks in. TimeLegal asks for a reason
for early clock in as he is scheduled for 8am. He enters as the reason "Special
rush job". As this reason is an approved reason, no supervisor password is
required for clock on and Bob is clocked on at 7am.
3. Betty A arrives at 8:04am and clocks in. TimeLegal shows 8am as clock on
time, as she was within the first 1/2 of the Rounding time of 10 minutes.
4. Amy Z arrives at 8:06am and clocks in. TimeLegal shows 8:10am and she is
required to enter a reason for her late arrival, she chooses "Freeway Accident".
5. Stephanie G arrives at 8:12am and clocks in. TimeLegal shows 8:12am
(actual time as she is beyond grace and rounding ), she is required to enter a
reason she chooses "Car Problems", she is also required to have the supervisor
enter her password as she is beyond the Grace clock in time of 10 minutes. The
Reason is written to her personnel files.
As you can see from the above scenarios, there is a powerful incentive to be
on time, even a bonus in certain circumstances.
Operation of TimeLegal period scheduler as easy as 1,2,3.
1. Shift "Daytime 8-5" is created using our
Shift Wizard. As everyone
goes to lunch at one time with the exception of 1 person, all personnel are
assigned to this shift using our Assign Shift tool.
2. Bob Cs shift is then modified using the
Individual scheduler and
his start time is moved up hour as well as lunch and ending time.
3. Shift Bar graph reports are then created for each department and
posted. Several ask for shift personal copies so they know for sure when
they work.
From 2 to 500 your personnel will always know where they stand and when they
are scheduled to work. If things change during a week, just modify the shift and
print out a new copy.
